Theme

Walt was suggesting that a theme works quite well to encourage participation from guests and also aid in guiding us in finding suitable, supporting vending & information booths.

Some brainstorming ideas were:
one earth, green food, building community, be a part of it, celebrate sustainable food, local, doing it, taking action, support community, celebration of local action, functional and beautiful evolution

And we loosely came up with:
Earth Day: A CELEBRATION OF LOCAL ACTION

Meeting Minutes – February 2nd February 5, 2008

Filed under: Minutes — earthdaynanaimo @ 3:58 am

Attendees

* Lorelei
* Chris
* Michelle
* Location: The Vault as Thirsty Camel was closed

Discussed

* sorting out committee roles
* schedule allotments
* planning committee schedule
* Media schedule
* Budget Questions

Details

Sorting out Committee:

Each Committee is described on a page of the blog and can be updated
directly by adding a comment to that page. Please take a gander and
let me know what you think and we can add or delete as necessary…
Please pick one you’d like to be in charge of :

Logistics: Charles?
Media: Lorelei
Sponsorship: we are seeking someone who might be interested and
perhaps Charles has found Lindsey, we were hoping she would be
interested.
Stage: Jim?
Communication (web blog): Michelle
First Aid Legalities: Chris

“On the day” Committees:

MC – TBD
Logistics: Charles for Outdoor Activities & Location Coordinator -Angelique?
Volunteers: Michelle
Entertainment Time Keeper: Jim or Chris
Schedule (in the works)

Hoping to advertise: “a live band every hour on the hour”
We figured that if we used the following time allocations then it
should work out well…Jim you probably have the most experience with
that, we look forward to your feedback

Tentative Schedule Block

0000-0030 hrs Band

0030-0045 hrs Speaker

0045-0000 hrs Skit

Is it possible to have an area in front of the stage for skits?

According to the above allotments we would require:

6 bands at 30 minutes
6 speakers at 15 mins
6 skits at 15 mins

does this sound reasonable?

Planning Schedule

Meetings

will be every two weeks until March. March until the day we

will have weekly meetings as necessary supporting varying local cafes.

Next Meeting

February 16th at 10am at Le Petite Chou

Goals

* To confirm ‘leader’ of each role
* Have site map with # of available tables for each: vendor,
exhibitor –>Charles is this something you can look into? If not let us know!
* To review a rough schedule and finalize as a group
* Potential Sponsor List

Media Schedule

We thought that March 22nd was a good time to put up posters and
address a radio press release (as Chris would put it: a ghost
whisperer effect) And April 5th was a good time to make an Intense
press release: A channel, Shaw, newspapers.

Budget Questions

* approximate $$ raised/spent last year
* approximate attendees last year

Earth Day Nanaimo is a committee of volunteers dedicated to celebrating the care of our planet earth.

This year the committee has been passed on from the previous years committee members. Thank you for all your hard work in the past years: Chad & Suzanna of The Green Store, Lindsey Bingley of Nanaimo Recycling Exchange and of course there were many more who helped out greatly!

Our committee this year is:Angelique, Charles, Jim, Lorelei, Chris and Michelle…more enthusiasts are welcome!
